IF YOU HAVE BOOKED A BOOTH SPACE IN THE NIGHT'MARE MARKET, THIS IS THE PAGE FOR YOU! HERE YOU WILL FIND ALL THE INFORMATION NEEDED TO ENSURE YOU HAVE A SUCCESSFUL EVENT. PLEASE THROUGHLY READ ALL THE INFORMATION BELOW.

COVID-19 INFORMATION - IMPORTANT 

  • Wear a mask. Masks are mandatory for all attendees, actors, vendors and staff. Full face Halloween masks are not permitted and are not considered proper PPE under The City of Calgary bylaw. 
  • All exhibitors are required to check-in daily for a Health Check upon arrival at the Show. 
  • Booth surfaces should be sanitized regularly. Use the 'wipe twice' method to clean and disinfect. Wipe surfaces with a cleaning agent to remove soil and wipe again with a disinfectant.  
  • For each 10x10 booth, it is recommended to have only one exhibitor. In the case of work or family cohorts, exceptions can be made with a maximum of two exhibitors per booth. 
  • No food or drink samples can be provided. 
  • Offer contact-less payment options, POS systems must be sanitized in between each transaction. It is recommended that gloves are worn when handling cash. 
  • If an attendee wants to handle a product, they must sanitize their hands before and after. 
  • Electronic and interactive displays that cannot be cleaned and sanitized between users should be operated exclusively by the exhibitor. 
  • It is recommended to reduce the number of items in your booth that will be handled by multiple people (ie. Writing pads, pens, clipboards).
  • Wash your hands, use hand sanitizing stations often and avoid touching your face.
  • Do not attend the event if you are experiencing any symptoms of COVID-19, including cough, fever, shortness of breath, runny nose and sore throat. Quarantine is required if you have travelled internationally or come in close contact with a confirmed case of COVID-19 in the past 14 days.
  • Limited capacity to allow for social distancing throughout the event.
  • Touchless box office options.
  • Our team will be pre-screened daily and wearing PPE.
  • Hand sanitization stations at entrance, exit and throughout the event. 
  • One designated entrance & exit point. 
  • Increased sanitization protocols. The BMO Centre certifications include ISO 14001, Provincial safety COR and is currently working towards their GBAC STAR Facility Accreditation. This means the facility has:
    • Established and maintained a cleaning, disinfection, and infectious disease prevention program to minimize the risk associated with infection agents like the novel coronavirus (SARS-CoV-2)
    • The proper cleaning protocol, disinfection techniques, and work practices in place to combat biohazards and infectious disease.
    • Highly skilled cleaning professionals who are trained for an outbreak and infectious disease preparation and response.
  • Wider aisles and directional signage.
  • There will be 6ft of space in between each booth in the Market area. 
  • Signage, floor markings and verbal announcements to support physical distancing.

Hours: 7pm - Midnight Daily 

Exhibitors can enter the facility 1HR prior to Show Open on event days with the exception of move-in day (October 22nd), doors will open at 11am for exhibitors to set. 

The building will be locked down during dark days (Oct 26th - 28th) 

 

MOVE-IN                                              

Thursday October 22   11am - 7pm      *Show Opens 7pm

  • Children (under 16) are strictly not permitted on the Show Floor during Move-in or Move-out as per Safety Regulations.
  • Security guards will be posted at move-in doors. Access during move-in is through the South Loading Door at the Big Four.
  • The building will be locked down during dark days (Oct 26th - 28th), you can leave your booth set up during this time. 

MOVE-OUT

Saturday October 31st  @ Show Close (Midnight)

  • Product is left behind at the risk of the exhibitor and the facility may charge a handling/storage fee.
  • Any exhibit materials & skids left behind will not be the responsibility of Show Management.
  • Early move-out will not be tolerated. Removal or dismantling of exhibits or exhibit materials will not be permitted before Show Close. 

 

EXHIBITOR BADGES: 

  • Each 10x10 booth will receive 2 exhibitor badges. It is recommended that only one staff member work the booth at a time. 
  • Exhibitor badges are generic, and will only be labelled with “Exhibitor”, no company name, or individual name.
  • Badges are available for pick up at Check-in during move-in and are required to gain access to the Show. We ask that one person from each booth pick up the badges at check-in.  

NOTE: Exhibitor Badges are for booth personnel ONLY.

FURNITURE 

  • The official Show contractor is Canwest Productions Inc. 
  • We are responsible for the following: furniture rentals (carpet, tables & chairs, etc.), draping & on-site labor.
  • All booths will be supplied with 8’ high draping at the back, and 3’ high on the sides.
  • For additional requirements, please order in advance using the
    SHOW FURNITURE ORDER FORM
    *Charges will apply to any on-site orders

BOOTH RESTRICTIONS 

  • Booths may reach a maximum of 8’ in height, and may not restrict sight lines (i.e. block) another exhibitor.
  • Changes in the standard draping are at the exhibitor’s expense.
  • Nothing is to be pinned or stapled to the drape – “S” hooks are available at the Show Office. 
  • Painting, nailing, drilling, or screwing to the floor, walls or any part of the building is not permitted except by prior written approval of both Show Management and Building Management.
  • Alcohol is strictly not permitted at your booth.
  • NOTE: All pop-up tents must be fire retardant with ticket of approval/confirmation displayed.

SIGNS & BANNERS 

  • All booth signage and banners are to be professionally made and fit in the confines of your booth. Booth signage cannot block other exhibits. 
  • Any banners or signage deemed inappropriate by show management will be removed. 
  • The official printer appointed by Show Management: Rayacom Print & Design.

NOTE: The Stampede has extended the advance pricing deadline but there will be additional charges to on-site orders. If electrical & internet is needed, please order in advance. 

The Nightmare Market is a dimly lit Show, with string lights on the ceiling. If you require additional lighting please make your own arrangements. 

FOOD VENDORS 

  • If you are selling food products at the event, two forms are required. The Alberta Health Vendor Notification Form and Stampede Concessionaire Agreement. 
  • If you have a food truck at the event, one form is required. The Stampede Food Truck Agreement.

SECURITY 

  • Security guards will be on site 24-hours a day and in the building during the hours of move-in, show hours and move-out.
  • Show Management, cannot assume any responsibility for losses incurred from pilfering or any other causes.
  • While Show Management will take all reasonable security measures to safeguard small items, removal of such iteams daily will minimize the possibly of loss from pilferage. 

INSURANCE

  • Show Management, The Night'mare Market & ScreamFest, Stampede Park, and the City of Calgary, will not be responsible for injury to persons, loss or damage of products, exhibits, equipment or decorations by fire, accident, theft or any other cause while in the show building or its environs.
  • To secure proof of insurance simply phone your insurance provider and ask for a certificate naming: HEX Entertainment Inc., the Show name, current facility and city of the Show. There should be no additional cost from your insurance provider for this service.

    NOTE: This is an official request. If proof of insurance is not supplied, HEX Entertainment Inc. will not be held liable. For more information, please refer to the Insurance & Indemnity clause on our Terms and Conditions sent with the application.

  • HEX Entertainment Inc. is committed to creating a safe environment for all attendees, exhibitors, performers and staff. All cases are dealt with on a case-by-case basis. Limits can be violated deliberately, or through poor communication, misunderstandings, technical accidents, lack of knowledge, and/or lack of experience. If you experience or witness any sexual harassment, verbal/physical abuse, harassment or bullying, please contact HEX Entertainment Show management.
  • General Character and/or Company slights, abuse of any HEX Entertainment Staff, or insults of any kind will not be tolerated. Any exhibitor responsible will have their exhibit space cancelled (non-refundable) from the show.
  • Exhibitors shall abide by licensing and copyright regulations and laws. Exhibitors are responsible for the authenticity and quality of their merchandise. Management reserves the right to inspect mechanise and ask for proof of authenticity. Exhibitors assume full responsibility for any litigation and fines associated with the sale of bootlegged, counterfeit, and/or illegal merchandise.
